Facilities Management Condominium Associates has a policy of conducting
frequent physical inspections at each community. These inspections are essential in order to properly maintain the community and to implement and administer an effective
preventive maintenance program. Each new client receives a complete "needs assessment" during the first sixty days of the management engagement. The property
manager works with the Board of Directors to obtain bids and to schedule work with contractors. Managers have access to a database of preferred contractors and vendors
that provide reliable service at reasonable rates. In addition to managing the physical aspects of the community, the property managers also manage personnel matters
including the supervision of on site employees and third party contractors. Services include:
- Frequent site inspections
- Written inspection reports
- Supervision of personnel
- Preventive maintenance programs
- Work order system for service requests
- Review bids for major repairs
- Monitor renovation work
- Evaluate major building components
- Coordinate landscaping evaluations
- Negotiate service contracts
Financial Management
Condominium Associates has an excellent system of financial accounting and reporting. The accounting system is highly computerized and provides a
wide range of reports. A great deal of time is also spent in preparing annual budgets. The actual expenditures are compared to the budget on a monthly
basis and reviewed with the Board of Directors. During the budget preparation process, replacement reserves are closely analyzed and this information
is presented to the Board of Directors for evaluation. Each month the financial package is presented to the Board of Directors with a narrative explanation
of balance sheet items and a discussion of income statement items which fluctuate from the budget. Services include:
- Preparation of annual budget
- Collection of maintenance fees
- Payment of invoices
- Monthly financial statements
- Written analysis of financial statements
- Cash reconciliations
- Assistance with investments
- Establish checking and savings accounts
- Assistance with bank financing
- Ordering and mailing of payment coupons
- Processing of insurance claims

Administrative Services
As managing agent, Condominium Associates assumes responsibility for the administrative matters of the association. In addition to the daily administration of photocopying,
mail processing, word processing and faxing, Condominium Associates provides the following services:
- Maintain current roster of owners
- Insurance administration
- Assist with Board meetings
- Conduct new Board member orientation
- Assist Board with enforcement of documents
- Coordinate mailings to owners
- Coordinate annual meeting
- Distribute annual financial statements
- Present property manager report at meetings
- Obtain Board approval of sales and leases
- Coordinate legal matters with attorney
- Establish annual association goals with Board
